Audio-Visual & Room Set-Up Preferences for Brett Clay

KEYNOTE Set-up Preferences

AUDIO VISUAL

  • MICROPHONE. A UHF wireless (no cord) lavaliere (lapel) microphone (Shure preferred). Brett will use his own CountryMan earpiece with your transmitter pack.
  • MONITORS (2). Two confidence monitors downstage are preferred, so Brett can view his slides and the real-time Twitter feed without having to turn to look at the screens.
  • SCREENS (2). At least two Large screens, preferably three – as large as possible! Please use two screens for the main presentation if they aren’t large enough for all attendees to view small text (such as Microsoft Outlook). The other screen is used to display a real-time Twitter feed.
  • PROJECTORS (2). Two powerful LCD projector(s) for PowerPoint and video. Please set one projector to each side of the stage, not on it or behind it. (If you project on the stage, the light will shine in Brett’s face while he walks on stage).
  • LAPTOP. Brett will use his own laptop and has a remote to run his PowerPoint slides. He will plug his laptop into your LCD projector. He will bring a thumb drive as a backup.
  • SOUND. A mini stereo cable to plug into his laptop, so the sound will play from his computer to the audio system.
  • CABLING. Two extra-long cables, to be run from the LCD projector all the way up to the stage to connect to Brett’s two laptops. Brett must be able to TOUCH his laptops to run and switch software programs during the presentation; he doesn’t simply use a remote.

ROOM SET-UP

  • PODIUM. If a podium has been ordered for announcements/introductions, Brett will place his laptop there. If no podium is available, a small cocktail round or podium should be placed on stage for Brett’s laptop and notes.
  • RISER/STAGE. Please order risers or a stage for Brett to stand on if there are over 40 participants (so everyone can see his). Brett is a “wanderer” and doesn’t speak from behind the podium. Remove everything else from the stage (head table, chairs, etc.). Decorations and plants are just fine.
  • PRODUCT TABLE. Please place a 6-foot skirted product table near the room entrance for book sales (if applicable at the conclusion of the presentation)
  • SEATING. If Brett’s keynote is less than 60 minutes, theatre style is fine (chevron layout preferred). If his presentation is over 60 minutes, tables are requested for comfort, preferable set in rounds.

MISC

  • LIGHTS. House lights should be up full, even if the screen looks slightly dimmer. Brett loves energy!
  • WATER. Please have a pitcher of room temperature water and a glass (or water bottles) available for Brett.

GENERAL

  • SCREEN. House lights should be up full, even if the screen looks dim.
  • PROJECTOR. A powerful LCD projector(s) for PowerPoint and video.
  • LAPTOP. Brett will use his own laptop and has a remote to run his PowerPoint slides.
  • PRODUCT TABLE. Please place a 6-foot skirted product table near the room entrance for book sales
  • SEATING. Round tables are requested for sessions over ninety minutes.
  • LIGHTS. House lights should be up full.
  • WATER. Please have a pitcher of ice water and a glass available for Brett.

LESS THAN 40 PEOPLE

  • Brett does not require a microphone, sound, extra cabling, risers or podium.
  • PROJECTOR PLACEMENT. A powerful LCD projector(s) for PowerPoint and video projection. Unless the projector is ceiling mounted, Brett prefers to place it on the far end of on a six-foot, draped table (not a projector stand). He will also place his laptop, notes, and materials on this table. Place the table perpendicular to the screen, in a “T” position.
